Privacy Notice for Finom Events 

This Privacy Notice explains how we process your personal data specifically for registration and attendance at Finom events. This notice supplements our general Privacy Policy.  Any matters not expressly addressed in this Privacy Notice are governed by our Privacy Policy. In the event of any inconsistency or conflict between this Privacy Notice and the Privacy Policy, this Privacy Notice prevails to the extent the processing relates to Finom’s events.

Please note that when you register via third-party platforms (such as Meta, Luma, or Google), those providers process your data under their own privacy policies. Finom is not responsible for their independent data practices. However, once your data is transferred to us, Finom acts as an independent controller and processes your information in accordance with this notice.

2. What kind of personal data do we process?
To facilitate your attendance, we process only personal data necessary for administering the event and ensuring a high-quality experience. 
Required data may include:  
  • Identification details: First and last name. 
  • Contact information: Email address and phone number. 
  • Professional context: Job title, company name, company size and LinkedIn profile URL. 
  • Photo and video images (made on events).
  • Marketing preferences: Your specific consent or opt-out status for receiving promotional updates and product offers.
  • Communication records: Confirmation of attendance and any specific dietary or accessibility requirements you provide. 
3. Why and on which legal basis do we process your data?
We process your personal data for the purpose of administering and conducting Finom events, including managing registrations, guest lists, verifying attendance, and providing necessary event-related updates such as venue details and confirmations. 
The legal basis for this processing is Article 6(1)(b) GDPR (performance of a contract), as the processing is necessary to facilitate your requested registration and participation in the event. 
In addition, we may process your personal data on the basis of Article 6(1)(f) GDPR (legitimate interests) to document our events through photography and filming for promotional use on Finom’s social media and professional channels. Please be aware that photographers and film crews might be present at the venue. If you do not wish to be photographed or filmed, please inform our team at the check-in desk or alert the photographers directly.
Furthermore, if you separately and explicitly opt-in to receive our newsletter or product offers, the legal basis for such marketing communication is Article 6(1)(a) GDPR (consent).

4. Who receives your data?
Within Finom, access to your personal data is limited to those teams that require it for event management, marketing, and sales purposes. 
We may engage external event organizers and service providers to assist in the technical and administrative execution of the event (e.g., for sending emails, securely hosting and storing data, or managing databases). These partners act under our instructions and are contractually bound to comply with applicable data protection laws and appropriate security measures.
We do not transfer your personal data to countries outside the EU or the European Economic Area (EEA). If, in exceptional cases, such a transfer should become necessary, we will ensure that appropriate safeguards are in place in accordance with applicable GDPR legal requirements.

5. How long do we store your data?
We retain your personal data only as long as needed to fulfill the purposes of the event and to comply with legal requirements. If you have consented to marketing, we store your data until you withdraw your consent.
